Below, we guide you through each step of conducting a drug count using our system.
1. Initiating a Drug Count
To begin the process, identify the medication you need to count in the inventory list. Next to the selected medication, you'll find a "+" button. Clicking this button will navigate you to the drug count interface. Upon arrival, you'll notice that the Drug Identification Number (DIN) for the medication automatically populates the necessary field, ensuring accuracy from the start.
However, if the DIN does not fill in automatically or you're dealing with a medication without a scanned entry, manual input is also supported. Simply enter the DIN or the medication's barcode. The system then performs an automatic search to retrieve the medication details, making sure you're working with the correct data.
2. Selecting Medication and Date
Once you're in the drug count interface, it's essential to confirm that the correct medication is displayed. After verification, click "Select" to continue. If you're conducting a count for a past date, you can easily adjust the date. Click on the date field to bring up a calendar view, from which you can select the appropriate date for your count.
3. Entering Count Details
This step is critical for ensuring inventory accuracy. The interface will display previous count data, including the quantities of medication ordered and dispensed since the last count. Here, you will enter the current stock quantities. Make sure to account for sealed bottles as well as loose tablets. For an efficient counting of loose tablets, utilize the PillEye module, which offers rapid and accurate counting capabilities. Alternatively, manual entry is available for those who prefer it or in scenarios where PillEye cannot be used.
For any discrepancies noted during the count, the "Adjustments" section allows you to document the variance and its cause. This documentation is vital for auditing and inventory management purposes.
4. Finalizing Your Count
After meticulously entering and verifying the count details, including any necessary adjustments for discrepancies, you're ready to submit your count for processing. However, before the final submission, review all entered data, focusing on adjustment reasons and quantities. This review step is crucial for maintaining accuracy and ensuring accountability in drug inventory management.
Once satisfied with the accuracy and completeness of your count and its documentation, submit it. The system then processes your submission, updating the inventory records accordingly.
