Where to find it
The store setup card is the first card on the Dashboard. It is for the store selected in the store switcher; each store has its own card and its own progress.
Your store isn't live yet
A new store starts not live. Until it goes live:
patients can't find it on your group's site or in the store search, and can't book it online. Its booking page says the store isn't taking online bookings yet and gives its phone number;
booking links can't be sent;
staff can still book by phone or for walk-ins with New Appointment, add people to a waitlist, and make the test booking;
appointments already booked stay booked, and patients can still change or cancel them.
While the store is not live, on a computer or tablet, staff see Not live yet in the top bar; if you can open the Dashboard, select it to open the setup card.
On the left, the card shows a ring with how many of the three required steps are done (1 of 3). A store PharmaGuide has just turned on is headed New store, with the three steps to finish before going live. Once a step is done the card reads Your store isn't live yet, and with all three done, Ready to go live.
On the right, under Required to go live, are the three steps in order, then Go live. The next step to do is open: what it is, what is still needed, its button and How to do this. The other steps show Done, what they need, or Could not be checked; select one to open it instead. One step opens at a time. When you come back from a settings page, the card opens on the next step left.
For the store details step, the card shows whether the Address, Phone number, Time zone and Store hours are Set or Not set. If Head Office manages your address and phone number, they read Set by Head Office. A time zone that does not fit your province reads Doesn't match with the province.
The arrow at the top right folds the card to one line for this visit, with the next step's button. It opens again the next time you come to the Dashboard, or when you select Not live yet in the top bar. The card can't be hidden. Once the store is live it shrinks to one line, and when every step is done it becomes a Store setup: complete button.
Going live
Three steps must be done before a store can go live:
Confirm your store details: address, phone number, time zone and store hours.
Choose the services you offer.
Set your booking hours: the weekly service hours appointment times come from.
Until then, Go live at the end of the steps says which steps it is waiting for. When all three are done, select Go live, then Go live now. Patients can then find and book your store online. Only the pharmacy manager, or someone the manager gave settings access to, can go live; everyone else reads Your pharmacy manager can go live once the steps above are done.
Head Office can also put your store live. If Head Office or PharmaGuide took your store offline, the card reads Your store is offline and says who took it offline, the reason and when that was last changed, and who can put it live again: "Only Head Office or PharmaGuide can put it live again" after Head Office took it offline, or "Only PharmaGuide can put it live again" after PharmaGuide did.
After going live
Right after you go live, the card says your store is live, when and by whom, and lists three optional steps under Worth doing next. They don't affect online booking:
Check your team has access.
Make a test booking. You can also book one from New Appointment before going live.
Share your booking link. This step shows once the store is live.
The next time you open the Dashboard, the card is one line: Your store is live, with how many optional follow-ups are left. Select it to see them under Follow-ups, with their buttons and Mark done. A required step that has come undone is listed under Needs attention.
If a required step comes undone later (for example, every service is turned off), your store stays live, the card warns you and opens on that step.
When every step is done, the card steps back to a small Store setup: complete button above the quick actions. Select it to review every step, who marked a step done and when, and, where allowed, Mark not done.
You can also open the setup card from here.
How a step counts as done
Most steps are read from the store's own settings each time the Dashboard opens. You do not need to tick them: set the hours and the step shows as done.
Three steps can also be marked done by hand, because PHOXBook cannot always see them happen: Check your team has access, Make a test booking and Share your booking link. Select Mark done on the step. The step then shows who marked it and when. Mark not done removes the mark.
If PHOXBook cannot check a step at that moment, the step shows as not done with a note saying so. It is never shown as done on a guess, and a store can't go live on a step that could not be checked.
Who can change what
The pharmacy manager, or anyone the manager gave settings access to, can open the settings screens, mark steps done and go live.
Everyone else at the store sees the same progress, without the buttons. The card says Your pharmacy manager, or someone they have given settings access, can change these settings and mark steps done.
Where Head Office has locked a setting for your store, the step says Head Office manages it, and has no button.
