Overview
Walk-in availability is configured in two layers:
Master switch — one toggle per pharmacy that acts as a kill-switch. When off, no service accepts walk-ins, no matter what the per-service settings say.
Per-service switches — one toggle per service. Each service must be explicitly opted in for walk-ins.
Both layers must be on for a service to accept walk-ins. Default is off — walk-ins require an explicit opt-in per service.
Accessing walk-in settings
Open Settings, then Services under Store (the Service Catalog card)
The Walk-in Configuration panel appears above the service list. It is shown only when head office allows walk-ins at your pharmacy
Each service row has a Walk-in column with an inline switch
The master switch needs the Enable / Disable Services permission, and each service's switch needs the Override Duration & Buffer permission. Pharmacy managers have both by default. Without them you see the switches but cannot change them.
Turning walk-ins on
Step 1: Enable the master switch
At the top of the Service Catalog, turn on the master Walk-ins switch. This tells the system that walk-ins are accepted at your pharmacy.
With the master on, the panel reads "Walk-ins enabled for this pharmacy", the summary line updates (for example "3 of 12 enabled services accept walk-ins", or "No services configured for walk-in yet." before any service is opted in) and the per-service switches become editable.
Step 2: Opt in each service
In the Walk-in column, flip the switch on for every service that should accept walk-ins. Each change saves immediately; there is no separate Save button.
The summary at the top updates as you go.
Turning walk-ins off
Disable a single service: flip its per-service switch off. Other services are unaffected.
Disable everything at once: turn off the master switch. All services stop accepting walk-ins instantly, and the warning banner shows how many services still have walk-in opted in, so you can turn them back on quickly if you flip the master back on later.
Turning off the master does not erase per-service settings. It just gates them. Flip the master back on and your per-service opt-ins are still there.
What patients see
The patient booking site shows a Walk-in available badge on a pharmacy's location card. The badge only appears when every service the patient has selected accepts walk-ins at that pharmacy.
For example, at a pharmacy with walk-in enabled only for flu shots:
Patient picks flu shot only → badge shows
Patient picks COVID only → badge hidden
Patient picks flu + COVID → badge hidden (the whole booking can't be walk-in)
This matches what staff will actually accept at the counter.
Why the switch is greyed out
The per-service walk-in switch is disabled when:
Master is off: turn on the master switch at the top first
Service is disabled: a service must be turned on for the pharmacy before you can configure walk-in for it
You don't have the permission: changing a service's walk-in switch needs the Override Duration & Buffer permission
Turned off in PhoxAdmin: "Turned off in PhoxAdmin, so this service takes no walk-ins here."
Hover the switch for a tooltip explaining which condition applies.
Tips
Default is off. A newly added service will not accept walk-ins until someone with the permission opts it in.
Use the master switch as a quick way to pause all walk-ins (for example, during short-staffed periods) without losing your per-service configuration.
The summary line at the top is the fastest way to see how your pharmacy is configured: "Walk-ins enabled for this pharmacy" with "3 of 12 enabled services accept walk-ins."
