Step 3: Contact and consent

There is no review step

The Booking rail on the right already shows a summary of each finished step: the people and services, the time and pharmacist. Check it there, and click Edit on a step to change it. You confirm from this step.

Contact

  • Email and Phone: enter at least one. They are shared by everyone on the booking. The phone is formatted as you type, for example (416) 555-2142.

  • Preferred contact, when both are consented: Email or Text.

  • Booked by: Phone (the default) or Walk-in for a patient at the counter.

When the booking comes from a PhoxBook account, the email reads "Linked to the PhoxBook account" and is locked. Remove account link unlocks it, and the booking then does not appear on the patient's PhoxBook account.

Read to the patient

Read these word for word:

  1. The privacy notice: the first two paragraphs show; Show the rest of the notice opens the others

  2. The terms box: required. Tick it once the patient agrees to the terms

  3. The two consent questions: one for email, one for text messages. Tick each box the patient agrees to

What the patient will receive

Under the consent boxes, and in the rail under The patient will receive, the dialog says which one channel the confirmation and reminders will go by:

Consent

What is sent

Email and text

One channel: the preferred contact decides

Email only

Email, whatever the preferred contact

Text only

Text, whatever the preferred contact

Neither

Nothing: "No confirmation or reminders will be sent"

If the chosen channel has no address or number, the other consented channel is used. If a consented channel has no contact at all, nothing is sent and the dialog says so. When nothing will be sent, give the patient the confirmation code and the time yourself.

Confirming

Click Confirm booking (or Add to the waitlist when every service is waitlist-only). If the button is greyed out, the reason is under it, for example "Add an email or a phone number." or "Tick the terms box once the patient agrees to the terms."

The done screen

  • Confirmation code with a copy button: give it to the patient

  • Patient, When, Services, Pharmacist and Booked by

  • What the patient will receive, for example "Confirmation and reminders will go by text to (416) 555-2142". It says "will": the dialog knows the channel, not whether the message has arrived

  • For a waitlist entry, the waitlist position and whether waitlist updates will go by email, by text, or not at all

  • Not linked to your dispensing system, with the reason, when a picked record could not be linked. Link now opens the link window when it can be tried again

Click Done to close.

If the booking cannot be made

  • The time filled up: you go back to Time; what you entered here is kept. Choose another time.

  • No pharmacist is scheduled or the daily limit is reached: choose another time or date.

  • The booking could not be made: everything you entered is kept. Click Try again; if it fails again, check the connection.

  • The booking is still processing: wait a moment and check the appointments list before you try again.
