What are KPIs?

Key Performance Indicators (KPIs) are metrics that measure how well your pharmacy is performing. They're displayed at the top of the Store Reports page.

Available KPIs

Available Hours

What it measures: The operating hours in the selected period that are still free for appointments.

Calculation: The store's operating hours (regular hours, or special hours on a day that has them, minus holidays and blocked time) less the hours booked by active appointments.

Why it matters: Shows how much capacity is left.

Utilization

What it measures: How much of your available capacity is being used.

Calculation: (Booked hours ÷ Total operating hours) × 100. Cancelled and no-show appointments are left out.

Why it matters:

  • Low utilization may indicate marketing opportunities

  • High utilization may indicate need for more hours

On the card: The bar is green above 70%, amber from 40% to 70%, and red below 40%.

Total Bookings

What it measures: Number of appointments whose appointment date falls in the period.

Includes: Every status (scheduled, completed, cancelled, no-show).

Why it matters: Tracks overall demand for services.

No Shows

What it measures: Appointments where patients didn't arrive.

Calculation: Count of appointments marked as no-show. The card also shows the rate (no-shows ÷ total bookings) and the trend against the previous period.

Why it matters:

  • High no-shows waste resources

  • May indicate need for reminder improvements

Cancellations

What it measures: Appointments that were cancelled.

Includes: Both patient and pharmacy cancellations. The card also shows the rate (cancellations ÷ total bookings) and the trend.

Why it matters: Tracks lost appointments and potential issues.

Average Wait Time

What it measures: Average time from check-in to completion.

Calculation: Sum of those times ÷ the number of appointments with both a check-in and a completion time. Visits longer than 180 minutes are left out.

Why it matters:

  • Indicates patient experience

  • Helps optimize scheduling
