How to Manage a Vaccination Appointment in PharmaBook

This guide walks you through the steps to manage a vaccination appointment using PharmaBook.

Accessing the Appointment

Once a patient books a service with your pharmacy, log in to your PharmaBook dashboard. Navigate to the Bookings page to view all upcoming appointments. Each appointment displays key details, including:

  • Patient’s submitted information

  • Consent status

When the patient arrives, click View Appointment to open the appointment details.


Reviewing the Patient Information

The appointment page provides a comprehensive view of the patient’s submitted questionnaire. Any critical alerts, such as a history of serious reactions, are highlighted in orange to ensure they are addressed promptly. Review these details carefully to prepare for safe and informed care.


Administering the Vaccine

  1. Select the Product: With the appointment page open, choose the vaccine product. PharmaBook autofills the DIN (Drug Identification Number) to minimize manual entry errors.

  1. Enter Product Details: Record the following:

    • Lot number

    • Expiry date

  1. Confirm Administration Site: Confirm with the patient which arm they prefer. For example, if they choose the left arm, record it as Left Deltoid, Intramuscular.

  2. Record Dose Information: For multi-dose vaccines, document the dose number appropriately.

  3. Complete Eligibility Checks: Perform any required eligibility checks and record your name along with the administration time.


Post-Administration Documentation

After administering the vaccine:

  1. Observation Period: Inform the patient to remain in the pharmacy for the required observation time (typically 10–15 minutes).

  2. Document the Outcome: Return to the appointment page to:

    • Confirm if no adverse events occurred

    • Record any adverse events, if applicable

    • Note whether you provided a record or notified the patient’s doctor

  3. Save and Submit: Once all details are recorded, click Save and Submit to finalize the appointment.


Generating and Sharing Records

PharmaBook automatically generates a detailed receipt, which includes:

  • Patient details

  • Vaccine information

  • Administration time

  • Administration site

The receipt is emailed to the patient and can also be downloaded for your records. This ensures both parties have a complete record for future reference.
